Administrative Assistant: Housing/Public Works

Peerless Trout First Nation is seeking a motivated, organized, and professional individual to fill the position of Administrative Assistant (Housing and Public Works). Reporting to the Housing Manager and Public Works Director, the Administrative Assistant is responsible for providing confidential administrative and clerical support to ensure the efficient operation of the Housing and Public Works Departments.
The successful candidate will demonstrate excellent organizational, communication, and customer service skills while working in a fast-paced environment.

Key Responsibilities:
• Provide administrative and clerical support to the Housing and Public Works Departments.
• Greet and assist community members, staff, contractors, and visitors in a professional manner.
• Answer and direct telephone calls, emails, and correspondence.
• Prepare letters, reports, meeting agendas, minutes, and other documents.
• Maintain organized filing systems, both electronic and paper.
• Receive, track, and process housing applications, maintenance requests, and departmental documentation.
• Schedule meetings, appointments, and inspections as required.
• Assist with data entry and maintain accurate records and databases.
• Prepare purchase requisitions, invoices, and other administrative forms.
• Monitor office supplies and place orders as needed.
• Assist with departmental projects, reporting requirements, and special events.
• Maintain confidentiality of all information and records.
• Perform other duties as assigned.


Qualifications:
• Grade 12 or equivalent.
• Knowledge of accounting principles and processing financial transactions.
• Knowledge of various types of filing systems.
• Knowledge of PTFN Financial and Human Resources Policies.
• Ability to project a professional response to clients, suppliers, and contractors.
• Ability to set priorities.
• Must be reliable and dependable.
• Strong organizational and customer service skills.
• Analytical skills.
• Experience in working in an office environment is an asset.
• Experience using QuickBooks is an asset.
• Valid Class 5 Driver’s License is considered an asset.
• Must provide an RCMP Police Information Check and a Vulnerable Sector Check as a condition of employment.
